NextSuite

NextDrive · for carriers and fleets

Your driver files, inspections and maintenance in one place.

The platform your office works from: what each driver still owes, which unit is due for inspection, and what the shop did about it — instead of a folder and a spreadsheet.

The NextDrive dashboard: company setup progress, and counts of active drivers, vehicles, trailers, work orders and expiring documents.

What the platform keeps.

Four areas, and how the record in each one is actually built. Every line names the regulation it answers to and links to its official text.

The driver’s file

You hand a driver your company code and they redeem it in NextWallet. From then on their Driver Qualification File has twenty-four sections, and each one names the regulation it answers to and who owes it: the driver, your company, or a third party such as a previous employer.

  • Application for employment · §391.21
  • Work history, with the gaps accounted for · §391.21(b)(10)Three years, and ten for CMV driving.
  • Annual Certificate of Violations · §391.27
  • CDL, medical examiner’s certificate and endorsements, with their expiry dates
  • The file stays with you when the driver leaves · §391.51

Vehicles and trailers

Every unit has its own record: the plate and its expiry, photos, and a status you have to justify — put one out of service and the reason is required, not optional. The annual inspection freezes the inspector’s qualification as it stood the day the inspection was done, so withdrawing a certificate today does not rewrite last year’s inspections.

  • Vehicles and trailers, each with its plate and the state that issued it
  • Annual DOT inspection · §396.17
  • The inspector’s qualification, recorded or declared missing on the report · §396.19
  • 90-day inspection · CA Vehicle Code §34505.5
  • Insurance policies, and the fleet-wide MCS-90 on every unit

The shop

A driver files a DVIR with a photo per defect. That defect opens a work order; the mechanic records the parts and the work, and the repair certification closes it. The chain stays attached to the unit, so nothing has to be reassembled later out of three places.

  • Digital DVIR, with a photo per defect · §396.11
  • Work orders, parts and repair certifications · §396.3(b)(3)
  • Mechanic accounts you create, and your company deactivatesA deactivated mechanic no longer signs a new inspection.
  • Inspection by link, so an outside shop needs no accountThe link does not identify who did the work, so its report says the qualification is not on file.

The company’s own file

What your company owes is a file too: the US DOT record, the insurance, and your own register of what happened on the road. When an auditor calls, it comes out as an indexed ZIP.

  • US DOT record, and the biennial MCS-150 due date
  • Tickets, roadside inspections and the accident register · §390.15(b)The accident record freezes the driver’s name as it stood that day.
  • Users and roles: Admin, Safety Manager, HR and Mechanic
  • The audit package as an indexed ZIPUp to 25 units per download.
  • Exports to CSV, Excel and PDF, always in English
  • Drug and alcohol program administration as a C/TPA · Part 382Soon

What a gap looks like.

A section nobody has produced says so, and it is not the same as one this driver does not need. You get a list you can hand out, not an investigation.

A Driver Qualification File in NextDrive: each section with its citation — §391.21, §383, §391.23(a), §382.701 — who owes it, and whether it is missing or not required.

What it costs.
